Last Updated: July 26, 2026

At Sailorfy ("we", "us", "our", or "Platform"), accessible via sailorfy.com and our mobile applications on the Apple App Store and Google Play Store, protecting your personal data and maritime credentials is our highest priority.

This Privacy Policy explains how Sailorfy collects, uses, stores, discloses, and safeguards your information when you interact with our digital identity wallet, course aggregator tools, matchmaking network, and mobile applications.

1.Information We Collect

To provide a source-verified digital identity protocol and credential management ecosystem, Sailorfy collects the following categories of data:

A. Personal & Professional Identity Data

Basic Information

Full name, date of birth, nationality, email address, phone number, profile photo, and emergency contact details.

Maritime Identification

Passport details, Seaman's Service Book (CDC/SID numbers), National Identity numbers, and tax identifiers.

Professional Credentials

STCW certificates, Certificates of Competency (CoC), endorsements, medical fitness certificates (e.g., ENG1), GMDSS licenses, ECDIS type-specific training, and flag-state endorsements.

Sea Service History

Vessel history, rank history, sea time records, performance appraisals, and vessel type experience.

B. App Telemetry & Location Data (Safe Passage & Safety Features)

Location Telemetry

Precise or approximate GPS coordinates, transit voyage checkpoints, and daily wellness check-ins (e.g., food, fuel, comms status) when you actively enable the Safe Passage or location features on our iOS/Android app.

Technical Device Data

IP address, device model, operating system, unique device identifiers, network connection type, and app usage logs.

C. Partner & Enterprise Data

For Manning Agencies, Ship Managers, Training Institutes, and Regulators: Business contact information, corporate email addresses, company registration numbers, and staff access logs.

2.How We Use Your Information

We process your data strictly for legitimate operational, security, and compliance purposes:

Digital Identity Management

To host, organize, and render your portable digital seafarer profile and alert you to upcoming certificate expiry dates.

Matchmaking & Discovery

To connect seafarers with licensed manning agencies and ship managers based on rank, certificate completeness, and availability.

Source Verification & Credential Integrity

To cross-reference uploaded qualification data against issuing databases (e.g., flag-state registries, maritime administrations, or training academies) to prevent credential fraud.

Safety & Telemetry Logging

To enable crew welfare reporting and location check-ins during high-risk vessel transits (such as West Asia or high-risk zones).

Course Aggregation

To process course discovery inquiries between seafarers and third-party maritime training institutes.

Regulatory Compliance & Risk Scoring

To aggregate anonymized, structured compliance signals into vessel-level Port State Control (PSC) Risk Scores for enterprise ship managers.

3.How We Share and Disclose Your Data

Sailorfy does not sell your personal information to third-party advertisers. We disclose data solely within the maritime ecosystem under the following conditions:

User-Controlled Sharing

When you choose to share your digital profile, CV, or verified credentials with a specific manning agency, ship manager, or training institute via the app or web portal.

Manning Agencies & Ship Managers

Enterprise subscribers who query the platform receive access to verified seafarer credentials and availability data for crew planning and rotation verification.

Maritime Regulators & Flag States

As required by law or official administrative mandates (e.g., real-time crew monitoring directives issued by government regulators or maritime authorities).

Service Providers

Trusted technical sub-processors (e.g., cloud hosting providers, SMS gateways, database security vendors) who operate under strict non-disclosure and data protection agreements.

Legal Obligations

If required by law, court order, or legal process to protect the safety, rights, or property of Sailorfy, its users, or the public.

4.Data Sovereignty & User Rights

You retain ultimate control over your digital maritime identity:

Access & Portability

You can request a copy of all personal data and certificate records held in your Sailorfy profile at any time.

Correction & Updating

You can update your profile, upload new qualifications, or request corrections to inaccurate records.

Consent Withdrawal & Deletion

You have the right to withdraw consent for data processing or request the deletion of your Sailorfy account. Note: Deleting your account will remove your digital identity from the matchmaker database, though historical audit logs required by law or regulatory compliance may be retained for statutory periods.

Location Controls

Location tracking is strictly opt-in. You can turn off GPS permissions on your mobile device at any time through your device settings.

5.Data Security & Storage

We employ industry-standard security measures to safeguard your credentials and personal records:

Encryption

All data in transit is encrypted using Secure Sockets Layer/Transport Layer Security (SSL/TLS protocols), and sensitive database fields (such as passport copies and government IDs) are encrypted at rest.

Access Control

Enterprise access is protected via role-based authentication and cryptographic handshakes to prevent unauthorized access.

Offline Resilience

Mobile application data stored locally on your device for offline use is encrypted using secure OS-level key vaults.

6.Cross-Border Data Transfers

Because shipping is an inherently global industry, your data may be transferred to, stored, or processed in servers located outside your home country (including Singapore, the Philippines, India, and the EU). We take all necessary contractual and technical steps to ensure that your personal data receives a level of protection comparable to international standards regardless of where it is processed.

7.Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes outlined in this policy, maintain active seafarer account wallets, or meet statutory legal, accounting, and maritime audit obligations. When data is no longer required, it is securely deleted or permanently anonymized.

8.Cookies & Tracking Technologies

Our website (sailorfy.com) uses essential cookies to manage portal sessions and security. We may use anonymous analytics cookies to understand website navigation and improve platform UX. You can adjust your browser settings to decline cookies, though some portal features may not function as intended.

9.Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in regulatory standards, maritime laws, or platform capabilities. Updates will be posted on this page with an updated "Last Updated" date, and significant changes will be communicated via mobile app notifications or email.
